Client: The individual or organisation booking our services ("you", "your").Â
Â
1. Booking & AcceptanceÂ
1.1 A booking is confirmed once:Â

A full booking request has been received;Â
-
The required booking fee/deposit has been paid; andÂ
-
We have confirmed the booking in writing.Â
1.2 By making a booking, you agree to these Terms & Conditions.Â
1.3 We reserve the right to refuse bookings at our discretion.Â

2. PaymentÂ
2.1 A non-refundable booking fee of £100 is required to secure your event date.Â
2.2 The remaining balance must be paid no later than 45 days before the event unless otherwise agreed.Â
2.3 If full payment is not received by the due date, we reserve the right to cancel your booking without refund of the booking fee.Â
2.4 Any additional services requested after booking may incur additional charges.Â

3. CancellationsÂ
By the ClientÂ

A non-refundable booking fee of £100 is required to reserve the event date. The remaining balance is due 45 days prior to the event.Â

Payment of the remaining balance will not be required if a written notice of cancellation is received more than 45 days prior to the event.Â
By UsÂ
If we are unable to provide the agreed services due to circumstances within our control, we will:Â

Refund all monies paid; orÂ
-
Offer an alternative date or suitable replacement service where possible.Â
Our liability will be limited to the amount paid for the booking.Â

4. Event RequirementsÂ
The client agrees to provide:Â
-
Safe and adequate access to the venue, with time to set up and pack down.Â
-
Adequate space to set up the photo booth, printer (if booked) and 7.5ft x 7.5ft backdrop. Â
-
Close access to a UK power socket.Â
-
Protection from rain, excessive wind, extreme temperatures/sunlight and other adverse conditions.Â
We reserve the right to refuse setup if the location is unsafe or inadequate and no refund will be provided under these circumstances.Â

5. Venue ResponsibilitiesÂ
The client is responsible for ensuring:Â

The venue permits photo booth operation.Â
-
Required permissions are obtained.Â
-
Parking and access arrangements are provided where applicable.Â
-
Any venue charges associated with access or setup are paid, by you.Â
Â
6. Setup & Pack DownÂ
We will require a minimum of 1 hour to set up and will aim to arrive approximately 1-2 hours before the agreed start time.Â
At the conclusion of the hire period, we require approximately 1–1.5 hours to dismantle and remove equipment.Â
Â
7. OvertimeÂ
Additional operating time may be available at a rate of £150 per hour, subject to operator availability and venue restrictions. Additional charges may apply if an early setup or a late/delayed collection of equipment is required.Â

8. Client ResponsibilitiesÂ
The client agrees to:Â

Ensure guests treat equipment with reasonable care.Â

Prevent misuse of equipment.Â
-
Ensure children are supervised by an adult.Â
-
Provide a safe working environment for our staff.Â
We reserve the right to suspend or terminate operation if guests behave in an abusive, dangerous or inappropriate manner.Â
No refund will be provided where service is suspended due to guest behaviour.Â

9. Damage & LossÂ
The client accepts responsibility for any damage caused by themselves or their guests through negligence, misuse or intentional acts. The client may be charged for repair or replacement costs resulting from such damage.Â
Â
10. Technical IssuesÂ
While we maintain our equipment to a high standard, unforeseen technical issues may occur.Â
Where possible we will:Â

Repair the fault;Â
-
Replace faulty equipment;Â
-
Extend hire time if practical.Â
If we are unable to provide the agreed service due to equipment failure, any refund will be proportionate to the loss of service.Â

11. Force MajeureÂ
Neither party shall be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to:Â

Severe weatherÂ
-
FloodÂ
-
FireÂ
-
Power outagesÂ
-
Pandemic restrictionsÂ
-
Government actionÂ
-
Civil unrestÂ
-
Natural disastersÂ

12. Photographs & Image QualityÂ
Image quality may be affected by venue lighting, guest behaviour or environmental conditions. We cannot guarantee every photograph will meet individual expectations.Â
Â
13. Event Media & DeliveryÂ
Where included:Â

Event media will normally be shared within 72 hours.Â
-
Event media will remain available for 2 months after the event date to download. After 2 months, event media will be permanently deleted. Â
-
It is the client's responsibility to download and store event media within the defined timeframe.Â
Â
14. Personal Data & PrivacyÂ
We collect personal information necessary to manage bookings.Â

15. Marketing & Promotional UseÂ
Unless the client opts out in writing before the event, we may use selected photographs for:Â

Social mediaÂ
-
Website galleriesÂ
-
Printed marketing materialsÂ
-
AdvertisingÂ
Clients may withdraw consent at any time for future use.Â
Â
16. CopyrightÂ
All photographs remain in the copyright of Ralia T/A Ralia Events. Clients receive a non-exclusive licence to use images for personal, non-commercial purposes. Commercial use requires prior written permission.Â
Â
17. Alcohol & BehaviourÂ
Our operators reserve the right to cease operation if guests:Â

Become abusiveÂ
-
Are excessively intoxicatedÂ
-
Endanger equipment or staffÂ
-
Engage in illegal or offensive behaviourÂ
No refunds will be given where service is ended for these reasons.Â

18. Limitation of LiabilityÂ
To the fullest extent permitted by law:Â

We shall not be liable for indirect or consequential losses.Â

Our total liability shall not exceed the total amount paid for the booking.Â
Nothing in these Terms & Conditions excludes liability for death, personal injury, fraud or any liability that cannot legally be excluded.Â

19. ComplaintsÂ
Any concerns should be raised during the event where possible. Formal complaints should be submitted in writing within 14 days of the event.Â
Â
20. Governing LawÂ
These Terms & Conditions shall be governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.Â
